Our Homeland Security Sector is seeking a junior administrative professional to support clients with the Federal Emergency Management Agency's Grant Programs Directorate. Successful candidates will have previous experience providing daily support to executives and will have excellent time and task management skills.
This position will be located on a client site. Finalists must be able to earn FEMA suitability.
Responsibilities
Manage the incoming/outgoing communications
Maintain the office calendars including Outlook calendars
Prepare travel authorizations and vouchers
Track documents requiring signature
Maintain filing systems
Schedule meetings, conference rooms, and video teleconferences as needed
Maintain office supplies and office equipment (call in repairs of office equipment)
Maintain organization charts
Hand deliver documents that require immediate attention
Distribute mail, photocopy, fax, burn CDs, as needed
Assist in developing and distributing agendas
Schedule local travel as needed for executive leadership
Provide document support, including creation, proofreading, submission, and fact-checking
Communicate office security procedures and local travel information for visiting external stakeholders
Qualifications
Bachelor's degree from an accredited university
Zero (0) to two (2) years of experience supporting senior level management or providing administrative support
Superb organization skills with the ability to prioritize multiple functions and tasks while managing his/her workflow efficiently
Self-directed, detail-oriented problem solver with an entrepreneurial acumen
Ability to effectively communicate with senior-level executives and clients in a professional manner
Strong client-service orientation that is also balanced with the ability to pragmatically manage expectations and accomplish key goals
Ability to work well in complex and dynamic teams is a must
Interest in the homeland security field is preferred
Familiarity/experience in a professional services firm (e.g., consulting, legal, etc.)

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
