We are currently looking for a Logistics Regulations/Travel Specialist, level II to provide onsite support in the Washington DC Metro area.
Will work directly with those government employees that will be traveling on government orders worldwide.
Travel can include short term deployment or long term duty stations.
The specialist will serve as the facilitator between the employee and the various companies to ensure a smooth transition from one location to the next.
Major Duties and
Responsibilities:
Level I:
Conduct interviews and provide counsel to government employees traveling on official government orders.
Provide guidance and information related to official passenger commercial transportation, to include air, rail and cruise vessel reservations.
Receive travel itineraries and travel authorizations, review and advise on proper execution of travel related justification forms, and voucher information.
Route automated transportation and travel inquiries and emails to internal and external recipients.
Audit, manage, track, and approve travel reimbursement cases requested by Department of State employees.
Ensure that applicable audit review regulations are applied in accordance with 14 FAM 500 guidelines.
Provide detailed review of authorized and actual travel (international/domestic) performed by government employees.
Perform routine follow up with government employees to request clarification or documentation relating to travel claims.
Oversee final reimbursements determinations for clearance by Branch Chief and final signature from the Transportation & Travel Management Director.
Ensure that approval memos are accurately completed, scanned, emailed to employee and electronically filed.
Keep management advised of problems encountered with travel and transportation program issues.
Communicate professionally and coherently when managing Transportation Regulations/Travel duties.
Provide administrative support duties as requested.
Level II:
all duties of Level I and Oversee and ensure that applicable DOS regulations, policies and procedures to all reimbursement claims are successfully completed.
Ensure accuracy of completed audit case files and payment memorandum prior to review by Branch Chief and final signature from the Transportation & Travel Management Director.
Conduct analysis of travel claims submitted for approval.
Ensure that all claims are assigned, tracked and electronically logged.
Monitor workload processes and keeps management informed of deficiencies and make recommendations for improved efficiencies.
Conduct workload data analysis and status reports to effectively manage work requirements.
Participate in planning, implementing and tracking aspects of the Department's FAM changes.
Draft and coordinate a variety of correspondence including, but not limited to, prepping Exception Committee and Civilian Board of Contract Appeals cases, instructions, procedures, directives, cables, regulations, travel briefings, and special projects.
Conduct travel related instructional presentations for students attending various training sessions at the Foreign Service Institute and other venues, and provide travel presentations for working groups composed of Department personnel, other government agency employees, and transportation industry representatives.
Necessary Skills & Knowledge:
Strong customer service skills.

Strong communication skills both written and verbal.
Strong knowledge of the travel industry to include government travel.
Minimum
Qualifications:
Level I:
Minimum of a two-year college degree or two years of verifiable experience in administrative, professional, analytical, or other work relating to travel and or transportation program operations.
Knowledge of travel industry to include the basic understanding of the principles of government travel; verifiable minimum of two years of pertinent work experience coordinating the travel of government personnel.
Verifiable minimum of two years of work experience in a service type organization including personal interaction with customer/clients; ability to use a keyboard for data input with a typing speed of 40 words per minute or above; and familiarity with use of spreadsheet and statistical graph/chart applications to fulfill report requirements.
Level II:
Must meet the requirements of Level I and have a minimum of four years' verifiable experience.
A minimum of 4 years' verifiable experience working in the travel industry to include the basic understanding of the principles of government travel.
Level III:
Must meet the qualifications of Level II and have at least 5 years relatable experience.
